  • A room (get access for yourself if you don’t have it already)

➡️Packing list

    🕛Before students arrive

Receive email when a student registers.

    • This helps you have a heads up that they are coming and also gives you information about them to help you better assess them. When you first begin the proctor role, give to the ESL School Admin the email you would like to receive those notifications at.

Being aware of those who have not been assessed yet:

➡️Just make sure that you have access to the results

    This will either be…

    • The notification email you received (if they recently registered)
    • The list of self-assessment information provided to you by the ESL School Administration
    • If they are not on the list…It means they have not done it yet
    • have them fill out the paper self-assessment form right there with you.
    • If they select more than one skill they want to improve, ask them which is the most important and indicate that the paper.
    • Give the paper self-assessment form to the school leader / class placement leader

Make sure there is a seating area in the room where you can see them (5 to 10 chairs)

    • so that students who are waiting for proctors to do the speaking interview can wait without standing.

Identify a fellow volunteer who can act as a backup if necessary (after school launch).

    • This prevents the student from having to wait unnecessarily (they have a lot of waiting already).

*****Make sure you have a paper or digital copy of last year’s level 5 students (in both schools). Level 5 students are automatically in the same class level. If they were in level 5 but it was before last year, they should be retested.

Do special room & room setup for launch & surge times (e.g. beginning of the school year)

    • You will need a seating area for those waiting for speaking assessments
    • You will need tables and chairs for all those doing reading assessments
    • You will need to have more speaking proctors and a dedicated person running the reading assessments and tracking times

For the 2024-25 school, year, we use the Intercambio Confidence & Connections placement tests, no matter what books our teachers are using. Here is the Intercambio in-person placement tests instructions. Please read them in their entirety before beginning. If you have done it before, please review them. After they’re done, ensure they have the necessary equipment. in this order of preference

➡️We conduct more than one assessment

Self-assessment, as part of English class registration form   [may also help to have QR for stand alone self-assessment sheet?]
