Review calendars from facility owners and let them know of inaccuracies
For FPC, weekly:
- Ask FPC database administrator to put you on distro list for security
- Ask FPC communications specialist to put you on distro list for reservations / setup
For NHBC,
- Take initiative on a regular basis to get with church admin
➡️Assign rooms at Fall and as needed
- When. This needs to be done not only at the beginning of the year after we find out class sizes, but also during the year as class sizes change or a new class is added.
- How. Assign classes to rooms each August/Sept or when classes grow, e.g. based on:
- class size
- Number of people each room can hold
- teachers who need to avoid stairs because of health
- resources in rooms (e.g. white boards, screens, etc.)
➡️At least monthly review classroom needs
Here’s examples of what to ask about:
- Chairs
- Tables
- Whiteboard(s) & equipment
- TV / projector & cables
➡️Communicate facility info you’ve gathered to those who need to know
- Building info page for students
- Building info page, for all volunteers
- Info for school leadership, including exceptional days (school leadership decides how to communicate those days to students
➡️Regular info:
Ensure that ESL School Facilities Host has a key so it can unlock the door 1 hour before class.
Wifi: please find it on the Tech Support Documentation role and update it there if it changes.
They let us use their paper goods in the big closet off the fellowship hall
We own all the mobile whiteboards.
***Note: most ESL School volunteers meet 30 minutes before class to pray together and then need time to set up their classrooms.
Give a list to your ESL School Host of what you have coordinated for from the church that hosts us
- This lets them know what to expect so errors can be noted for you and you can request corrections for next week (e.g. “the mobile white board was missing in room 102”).
- When it impacts an outside of ESL Link ministry (e.g. International Bible Study that Jenkie Hatcher leads), involve the School Leader in the coordination with them.
➡️Exceptions:
- “Squeeze” or “Share” Days.
- These are dates when the school will need to accommodate other things going on (e.g. pressure washing, other events, etc.).
- As soon as you are aware of these, tell the School Leader so it can be communicated to volunteers and students.

FPC: Wi-Fi info including any areas with low signal strength, classrooms AV info, HDMI cables info, etc.
Rooms tech
- TVs can be turned on with button on the bottom
- HDMI cables are usually in the room, but check ahead of time
Wi-fi
- login info: FPC Guest (no password)
- wifi strength: should be strong throughout building
NHBC: Wi-Fi info including any areas with low signal strength, classrooms AV info, HDMI cables info, etc.
Rooms tech:
- TV’s
- Remote controls are not required
- Find the power button (perhaps on side or bottom of the TV)
- Connect laptop with an HDMI cable (look on sides or back of TV)
- Use the “input” button on the side to toggle down to the HDMI option and wait for it to connect
- HDMI cables: Try to bring your own, or else we have one you can borrow.
Wi-Fi:
- Best to download your material if you can so you’re not dependent on Wi-Fi
- National Hills wifi is only for volunteers, not students. That is at the request of National Hills.
- Carpenter is usually the strongest wifi network.
- But even so, not all classrooms have strong Wi-Fi.
- As of December 2022, Wi-Fi password for all networks is:

- As of April 2023, they added a new network called nhbc_education
- password: t3achthew0rd!
- Wi-Fi strength: weaker in basement
Resolve the situation of where something was not set up at First Pres.
- If you learn that something was missing from the FPC database / reservation system, you’ll want to fix it for the future.
➡️Communicate weekly or monthly with property host to ensure we have the same idea of property usage
