ESL Student Registration – When Students Arrive

NEVER ASK IF THEY ARE REGISTERED. They may think they have already registered (by registering for an event or filling out the short interest form) but actually have not filled out our complete registration.

  • They should come to you with: (name tag registration checklist with their name on top)

 

  • You could have a paper print out or you could use this report from the Link database: Who has registered for class this year

 

  • Anyone who registered after last night will not be in the database yet. But you should be set to receive the email notifications when someone registers for your ESL School and you can check it there

 

➡️See if they are already registered in our database

  If registered: confirm with them what we have them registered for:  

  • Time of day for class
  • email (we use email for most communication)
  • If country says “United States” ask them what country their family is originally from

  If we are wrong on any of them, notate it on the paper list so you can correct it in the database after you’re done with them.   If not registered, First make sure we don’t waste their time: double-check with them to see if they already registered this year by asking them to see if they can spot their name on the checklist, in case they used a different name when registering.  

  • Tell them that their next step is to fill out the registration form.
  • For your information only: this has several purposes: ensures correct contact info (which helps us and their Teachers communicate with them), it also gives them fresh opportunities to sign up in other Link things.
  • They may be confused:
    • They may think that the very small interest form (just name, phone, & email) was all they needed to do. But that just lets us know they are interested. You can ask them, “did you do a short form or a long form?” Then you can explain the need for the form
      • “Is this the form you filled out?” [show them the short form]
      • “Great! We’re so glad you told us you were interested. Now we need you to fill out our complete registration form so we can serve you the best.”
    • They may think that – because they were already registered last year – that they don’t need to do it again this year.
    • But we ask all our students (even returning level 5 students) to fill out the registration form each year. This helps us serve them well.
